Cancellation and Refund Policy

We value your business and ask that you respect our business scheduling policies.  We appreciate and understand that circumstances arise where clients may need to change or cancel their appointments.  Please let us know if you need to cancel or reschedule your appointment. 

 

 1. Cancellation Policy

Notice Period:

If you provide notice of cancellation of at least three full days (72 hours) before your scheduled appointment, you will be eligible for a refund of the session fee, minus a cancellation fee (up to 20% of the fee).

Cancellations made within three full days (72 hours) of the scheduled appointment will not be eligible for a refund of the session fee.

 

2. Cancellation Fee

The cancellation fee covers administrative costs, pre-allocated practitioner time, and lost opportunity to accommodate other clients. The cancellation fee will be deducted from the session fee refund, if applicable.

 

3. Cancellation Process

Cancellations or rescheduling requests must be made more than three full days (72 hours) before the scheduled appointment can be completed by the client via the “Cancel/Reschedule” link included in the booking confirmation email.

Cancellations are considered effective only once received and confirmed by us.

Refund Policy:

Grounds for Refunds:

If you cancel your appointment within the eligible period and are entitled to a refund, we will process the refund within five business days.

Refunds will be issued using the original payment method unless otherwise agreed upon.

Refunds may be offered based on the following conditions:

  • If a cancellation is made within the designated notice period, a full or partial refund may be granted.

  • If a cancellation is made outside the designated notice period, no refund will be provided.

  • Refunds may be subject to administrative fees or non-refundable deposit deductions.

  • If we cancel a session, a full refund will be provided.

 

4. Rescheduling

Notice Period:

If you provide notice of a rescheduling request of at least three full days (72 hours) before your scheduled appointment, you will be eligible for a rescheduled session, with no additional charges or cancellation fees.

Rescheduling requests made within three full days (72 hours) of the scheduled appointment will not be eligible for rescheduling.

Rescheduled Appointment Period:

Clients may be allowed to reschedule their appointments within a certain timeframe without incurring additional fees. The rescheduled appointment must be within four weeks from the original session date. Rescheduling requests made outside the specified timeframe may be subject to the cancellation policy.

 

5. No-Show and Late Arrival Policy

If a client does not attend their scheduled session and has not provided prior notice in line with the cancellation policy, the appointment will be treated as a no-show. No-shows are charged at the full session fee and are not eligible for a refund or reschedule.

For live virtual sessions, we will remain on the Zoom call for up to 15 minutes from the scheduled start time. If the client has not joined the session or made contact by email to hello@jennarankin.com.au within this time to advise of technical difficulties or other issues, the session will be ceased and treated as a no-show or late cancellation.

If the client joins the session late and the session proceeds, the session will still end at the originally scheduled finish time. Late arrival reduces the available session time and does not entitle the client to an extension, refund, or partial credit.

If contact is made within the 15-minute window due to verified technical difficulties, we will assess the situation and determine whether the session can proceed or be rescheduled at our discretion.

If a session starts late due to us, the client will not be penalised and the full session time will be honoured or otherwise resolved fairly at our discretion.

 

6. Communication

Acknowledgement:

Clients are responsible for reviewing and acknowledging the cancellation and refund policy before booking a session.

Fair and Reasonable:

We believe that the 72 hours notice period provides a fair and reasonable opportunity for us to fill the cancelled or rescheduled appointment slot.

By enforcing this cancellation and refund policy, we aim to ensure fairness to both our clients and our business.

Policy Updates:

We reserve the right to modify or update this cancellation and refund policy at any time without prior notice.

It is your responsibility to review this policy periodically. Continued use of our services after any modifications constitutes acceptance of the updated policy.
